1. General Questions |

Virtual Case Management® offers a web based solution (we host), which is billed monthly depending on the VCM Plan you choose. However we do also sell the VCM software outright; with restrictions to be solely used by your organization to include the exclusive right to make changes or upgrades to the software. This will allow you to place the software on your own server with the flexibility to have it web accessible or not web accessible. See the pricing tab for further details into our pricing plans or call for details into purchasing VCM for your server. |
Unlimited! You can assign the case to as many users as you want (staff/vendors/clients). This is very helpful when communicating over a case, whereas all parties have one centralized location to review reports, finances, and communicate over a case. As the case gets worked the end user has the ability to email logs, attachments and more…which updates all parties associated in the case. The IM chat feature is also very helpful when all parties want to communicate over the case in real-time, with all communication being encrypted.
For security reasons VCM will time-out after a reasonable amount of inactivity (45 minutes).
VCM has various video tutorials built within the VCM application and each video is approximately 3-5 minutes in length; giving you specific assistance into a task you are conducting.

We provide you a user name, password and your own personalized URL to access the software. All user names and passwords are protected by 256bit encryption and all local data on servers, to include transmitted data is encrypted. All servers are protected within a harden structure, armed security, and servers are accessed via biometrics control. We use a SSL 256bit certificate to encrypt data that transfers back and forth…much like your bank does. |

YES, you can have your own Template Reports created within VCM and automatic billing will still work. Our development team needs to review the reports length and functionality to determine the time involved in creating the Template Report. Please send us your report as a PDF and in a Word document format if possible. The length and detail of the report determines the costs.
Yes, this is how the VCM application works; whereas only the check marked groups you want to provide an update into the case are notified. If you always want the administrator to be notified of email traffic concerning a case, we suggest adding an additional end user to the case (e.g. Admin)…and adding the administrators company email address for this new user.
Virtual Case Management has an administrative report which generates the total open cases and the types of cases by dates. This allows the end user to generate customized reports…weekly, bimonthly, monthly, yearly and even over a series of years. Knowing how many cases and the type of cases opened from any given point is easy with the “VCM Administrative Overview Report”. You can access the “VCM Administrative Overview Report” via the main menu bar to the left by choosing “Administrator” and then “Reports”.
Unlimited! As many as you want with the ability to attach any type of data (pictures, video, audio, documents…etc.) to the specific subject/project. This is very helpful when dealing with large complex cases with many subjects/projects.

2. Configuring VCM for your company |
|
It's easy to have your logo show within the login screen, within the application and when you print invoices and reports. Below is an image which should assist you, if you need additional assistance in setting up your logo within VCM, send your logo to support@VirtualCaseManagement.com.
VCM allows you to configure various dropdowns that are located throughout the software; you can easily add eye color, hair color, car color, race and more. See the below image to assist you. 
Once logged into VCM, go to the menu bar to the left and open the dropdown “Administrator” and pick “Company” from the list. Once you click “company” you will be taken to the company page where you can choose a different theme.
VCM gives you the option to pick the case number format that works best for you. We offer three (3) options within the VCM wizard; so as you setup your company you can pick what works best for you. Below we provide a screenshot from the wizard along with providing case number format examples. If you need your own case number format, please contact VCM Support.
EXAMPLE 1: Client ID’s grow as 1000, 1001, 1002, 1003; and Case #’s grow as 1, 2, 3…etc. with a letter placed in the beginning to represent the type of industry. Industries: A=Attorney, C=Corporations, G=Government, I=Insurance Industry, P=Public; and an example of Case #’s: A-1000-1, A-1000-2, C-1001-1, C-1001-2…etc. EXAMPLE 2: Client ID’s grow as 1000, 1001, 1002, 1003; and Case #’s grow as 1, 2, 3…etc. with no additional information attached to the case number. Case Number Examples: 1000-1, 1000-2, 1000-3, 1001-1…etc. EXAMPLE 3: Client ID’s grown as 1000, 1001, 1002, 1003; and case #’s grow as 1, 2, 3…etc., HOWEVER we place the year in front of the case number to assist you with knowing the age of the case. Case Number Examples: 07-1000-1, 07-1000-2, 07-1000-3…(Year / Client # / Case #). 
VCM gives you the option to use an Open Case Checklist and a Closed Case Checklist; you also have the ability to change the questions or use our default questions. This helps making sure your staff follows various protocols you have in place. You also have the ability to turn this feature off and you can setup your questions within the VCM wizard when setting up your company or once within the software. The below image provides a screen shot into where to access the Open/Closed Case Checklists once log into the software.
Yes! We provide you with your own personalized URL to your software with the ability to upload your own logo to show within the log-in screen and the application. Adding a link to your own web site for your clients to log-in and access their cases is very easy. * NOTE: We also provide you a second personalized URL (within your company profile page), known as "Online Request". Add this link to your web site and allow your customers to actually open cases for you...they can also attach documents during their request.

3. Configuring VCM to work correctly within your Internet Browser |
|
VCM is optimized to print correctly in four (4) browsers (IE, Chrome, FireFox, and Safari), however VCM prints the best in Internet Explorer; as most browsers do not allow you to remove the header and footer from printing…but IE easily allows this. If you are printing Template Reports in Internet Explorer 8 or 9 you need to make sure the page setup is not defaulting to (Enable: shrink-to-print), once unchecked your reports should print fine. To accomplish this first make sure your IE menu bar is showing; if not right click on the gray area below the web address field and a submenu will show, pick “menu bar”. Now that your (File, Edit, View…etc.) are showing go to the “file” link and choose “page setup”. At the top of the “page setup” there will be a box for (Enable: shrink-to-print)…make sure this is unchecked! While you are here you can also remove the header & footer information from showing or customize what header and footer you want to show. Lastly within the VCM application you have the ability to setup your letterhead margins so that the Template Reports do not print over your letterhead logo or address information. In VCM, go to the menu bar to the left, Administrator and then “company” and here you can enter the amount of space VCM should dropdown before printing your Template Reports.
To open a file you need to allow "Pop-Ups" within the VCM application URL address https://service.virtualcasemanagement.com/index.aspx
In this example we are working with "Internet Explorer" and you need the menu bar showing; to do this, right click at the top of the window, near the tabs section. A sub menu will open and here you can choose to have the "menu bar" to show.

Click the "Tools" drop-down and select "Pop-Up Blocker", which will open a sub menu with settings for "Pop-Ups". 
Click the (Pop-Up Blocker Settings) and a second window opens allowing you to add the sites URL address allowing for Pop-Ups, ONLY within the site URL you entered.
DON'T FORGET TO CLICK ADD, THEN THE URL WILL SHOW WITHIN THE "ALLOWED SITES"
Today many computers come preloaded with add on tool bars from Google, AOL, Yahoo, MSN…etc., which prohibits the end user from opening Pop-Ups even when the site you are viewing has been added. These tool bars come with their own Pop-Up blockers and for this demonstration we will explain how to allow Pop-Ups using the "Google Tool Bar". When reviewing the VCM site you will notice within the Google toolbar a button towards the middle showing an icon with a red circle and a line crossing, showing it is BLOCKED. The user just needs to click that specific button and the "Google Tool Bar" will allow Pop-Ups from the web address you are viewing. See the diagram below… 
Internet Explorer 6.x, 7.x, and 8.x
Click on the Tools-menu.
Select Internet Options in the menu - a new window opens.
Click on the Privacy tab near the top of the window.
Click on the Default button of the window.
Move the slider so that it is on one of the levels below Medium High (including Medium, Low, Accept All Cookies).
Save changes by clicking OK.
Mozilla Firefox:
Click on the Tools-menu in Mozilla.
Click on the Options item in the menu - a new window opens.
Click on the Privacy tab.
Expand the Cookies section.
Check the Enable cookies and Accept cookies normally checkboxes.
Save changes by clicking OK.
Safari:
Once in Safari, at the top menu click on Edit
Click on the Preferences.
Click on the Security icon near the top of the window.
Under Accept Cookies the “always” or “only from sites you navigate to” must be selected.
Exit out of the screen by clicking the (X), as Safari saves your changes automatically.
Chrome:
Click the Tools menu. 
Select Options.
Click the Under the Hood tab.
Click Content settings in the "Privacy" section. Make sure "Allow local data to be set" is selected to allow both first-party and third-party cookies.
Open an Internet Explorer window and since the newer Internet Explorer versions are hiding the “Menu Bar”…I will assume it is not showing for this example. Once the Internet Explorer window opens, right click your curser at the top of the window allowing a submenu to show. Choose “Menu Bar” and Internet Explorer will unhide the menu bar showing the links (File, Edit, View, Favorites, Tools, Help).

At the top of the Internet Explorer window you need to click file and open its menu choosing “Page Setup”…see the diagram below.

When this window opens you will have the option of removing the header and footer HTML code from the page. By doing so you will remove the HTML code showing when printing reports from Virtual Case Management.
To disable the pop-up, "Only secure content is displayed"...follow the below directions and the images we provide to assist you. NOTE: Internet Options> Security> Internet Zone> Miscellaneous> Display mixed content, select enable, Instead of prompt. 
Within Internet Explorer, at the top of your browser (menu bar)...pick "tools" and the last option at the bottom of that drop-down, "Internet Options". Once you click on "Internet Options"...the below screen will show, pick the "Security Tab". Once within the "Security Tab"...towards the bottom, click on "Custom Level". 
Once you pick Custom level the below screen will show. Go to the middle of that screen and locate the sub-title "miscellaneous" and change the "display mixed content" from "prompt"...to "ENABLE". Save your settings and this pop-up will no longer show. 
This is not always necessary, however if you are experiencing problems with the VCM application not printing or other unforeseen issues you should make sure “pop-ups” are ALWAYS allowed; and adding the VCM application web address to the “trusted” sites. Instructions within IE 8 & 9: Top of the tool bar in Internet Explore click on “Tools” and then “Internet Options”. (If your tool bar is not showing and you do not see the link tools, you need to make your tool bar visible. Right below the area you type a web address in (gray area) “right click” and a sub menu will show, pick “menu bar”. Now that you clicked “tools” and “internet options”, go to the security tab and click the “trusted sites”, right below that to the right you will see a button called “sites”, click here. Click, add site to your trusted web sites and apply your changes clicking “ok” to save your data.

4. General functionality and providing backend access for clients and users |
|

Yes, the screen is correct. The (zero) is showing due to Internet Explorer not releasing the session. This deals with cookies, and IE is holding your session open, and all cookies need to be cleared IE. This is not an issue for your clients as they will be logging in with their user credentials ONLY; you are testing the system to see what the page looks like. Clients will see your company name in place of the zero (0). TO CLEAR COOKIES: Go to the IE tool bar at top, clicking “tools” and then “options” choosing delete history, and delete almost everything…you can keep your passwords unchecked. Once you do this, close ALL IE browser windows and do not login to VCM but rather click on your URL that your customers would click when ordering. Now you will notice the zero (0) has been replaced with your company name.
Giving a client back-end access is extremely easy! When you gain access to Virtual Case Management you will notice a menu to the left, choose "Clients" and open its sub-menu picking, “Add New”, or within the "Take Action" section click "Enter New Client".
Once you click “Add New”…you will be taken to a new screen allowing you to enter in the Client, and after you enter the Client (Company) you need to add the representatives name you are giving back-end access to. Click on the "Representatives" tab or after you created a new client, you can click on a button towards the bottom of the page adding a new rep.

VCM treats all your tasks like a wizard, allowing you to add "Representatives" after you add the company that is hiring you. If the person hiring you is not a company, you can skip the step of adding a representative, however to provide back-end access...you have to add a user representative. 
To the right you will notice a section asking if the client can log-in; if you grant access VCM will ask for their user name and password. See the diagram below.
NOTE: Client Representatives only have access to their cases. Clients can open cases, attachment documents, update logs and email/IM through the system. When logged in as a client you will notice a similar interface but various buttons are missing with less access. When you attach documents or update logs, you have the ability to block who has access to view those attachments or notes. This allows your clients and subcontractors’ access to your cases but you can control what they can view and access.
Giving an operative back-end access is extremely easy! When you gain access to Virtual Case Management you will notice a menu to the left, choose "Operatives" and open its sub-menu picking, “Add New”. See the diagram below. 
Once you click “Add New”…you will be taken to a new screen allowing you to enter in the operative (Staff, Subcontractor, Vendor…etc.)
Choose their user rights.
To the right you will notice a section asking if the operative can log-in; if you grant access VCM will ask for their user name and password. See the diagram below.
When you enter in a password, the "Email Log-in Info" check-box will appear!
If you are trying to close a case but VCM says you need to assign a representative but a representative is already showing...it means that representative was assigned to a case but later made "IN-ACTIVE". You can either assign the case to more than one representative (picking an ACTIVE REP)...or you can make that listed representative ACTIVE again. To make that representative ACTIVE, you need to go to the main home screen within VCM...use the search engine to locate the client, then locate that specific representative and make them ACTIVE. Doing this step from within the case structure will only make the representative active for that specific case.
Go to the VCM login screen to your companies URL and click the “forgot password” link and enter in your user name. Your password will be reset and it will be sent to you via the email address you associated with your login information.
Certain areas and items within VCM cannot be deleted but made inactive; this is due to security and the need for auditability.
You are not able to delete: Operatives, Clients, Client Reps, Cases, and Subjects. However, you have the ability to make these options inactive so they no longer show. For example, if you searched for a subjects name or any one of the above, ONLY the active items would show so that no mistakes or confusion can take place. Based on user rights (Admin/Staff/Sub)…you do have the ability to delete certain sections and items: Case logs, attached documents, Template Reports created...etc. A few other areas you have the ability to edit, e.g. invoices, money report, case log...etc.
Your password recovery email is your primary default email for VCM notifications, as throughout the system you can send email notifications when logs are updated, reports attached…etc. The FROM email field is your companies main email address (example: info@abccompany.com) and within the Company Admin section of your VCM company layout you have a company email field; separate to your personal email address within your contact page.

5. Configuring QuickBooks to integrate with VCM |
|
Virtual Case Management® has its own internal accounting system which allows for accounts payable or receivable, to include a retainer fee section. VCM allows administrators to associate multiple fees & sales tax to each VCM Template Report; which creates standardization for automatic billing. Virtual Case Management® provides you a “Money Report” which breaks down the cases finances. The Money Report shows “VCM Template Reports” and those fees, “Ordering Services” separately and those fees, “Expenses” and the “Retainer Fee” amounts, if one was taken.
The accounting receivable section allows the end user to input full payment, partial payment, pay multi invoices…or the ability to reduce an invoice based on a retainer fee that was added; along with a section to enter the check # or credit card information. The VCM Invoice prints the total amounts charged and the retainer fee reduction. VCM also monitors the finances and updates the corrected retainer fee amount; so if a partial retainer was used, VCM provides an updated current retainer along with showing what was already subtracted.
However, if you are currently using QuickBooks and want to continue using QuickBooks without having to enter data twice…use our QuickBooks Sync utility. Virtual Case Management® has developed the VCM-to-QB import tool, which needs to be downloaded
to each computer wanting to sync VCM Invoices into QuickBooks. Download here.

During the VCM Install Wizard we will ask for the invoice number you want to start with.
If you are currently using QuickBooks and your last invoice number was 2000, you should
start off at 2001. We do this so there is no interference with your current accounting
system; preventing invoice number conflicts. If you want to start off with a numbering
system of 1, 2, 3...etc., use our default option.
How to get started:
Download 2 files from the VCM support page (VCM-to-QB utility and the VCM to QuickBooks Invoice Template). You need to make all other invoice templates within QuickBooks INACTIVE…and then install our VCM-to-QB Invoice template making it ACTIVE. To make QuickBooks template invoices inactive, choose LISTS within QuickBooks and scroll down to templates and open this window. Within this section you can locate template invoices and by right clicking and picking from the sub menu “Make Inactive” you will confirm that the VCM-to-QB Invoice is the ONLY template to be used. Make sure your QuickBooks file is open, the VCM application is open, and the VCM-to-QB utility is open and you have logged in. In QuickBooks, you also need to pick the option “You do Charge Sales Tax” within the QuickBooks Preferences window. You can access this within QuickBooks by clicking on Edit from the menu bar. Once opened choose “Sales Tax” and then pick the “Company Preferences” tab choosing YES…that you charge sales tax. Regardless if you charge sales tax or not…you have to setup QuickBooks as YES for the integration to work. If you do not charge sales tax…state this within VCM and your VCM invoice will import without tax; however this option needs to be picked for VCM to integrate with QuickBooks.

Below is a screen shot of the VCM-to-QB utility; as you can see we list all open invoices not yet exported into QuickBooks. You also have the option to import ALL or a single invoice.
VCM-to-QB utility also keeps your invoice numbers in sequential order; so if you imported invoice #100 first and later imported invoice # 98, the VCM-to-QB utility makes sure invoices
show in correct chronological order within QuickBooks.

6. VCM Internal Accounting |
|
The money report tracks all finances within the case. Within the admin section you have the ability to create your services and fees along with placing each service/fee into one of four categories. One of the categories is “expenses” and items such as court costs, gas, travel, or even subcontractor or vendor services can be created within. The money report is a review of what transpired on the case financially…and as you create the invoice the end user has the ability to choose which items to add to the invoice. This allows you to monitor your end costs within the money report yet also allow the flexibility to add what services/fees and expenses you want to bill a client.
Yes. VCM not only has accounting features but they are extensive, providing the end user a greater scope into the cases finances. The VCM “Money Report” covers all finances within your case and with a click of a button you can determine the total costs of a case with the breakdown into categories; “Template Reports” “Research & Billable hrs.”, “Expenses”, and “Product Line”. VCM allows for automatic billing which can be setup within the admin section, and this allows you to set fees to the template reports built within each subject that is created.
As you work and create reports…or bill directly via the “order services” link within each subject…all transactions are added to the Money Report. This provides you a full scope into the retainer fee information, tracking of your expenses, case expenses, billable services and hours with the ability to additionally add finance fees when invoices go past due. VCM is equipped with an AR (Accounts Receivable) section which also allows for receiving partial payments. If invoices go unpaid the automatic “Invoice Reminder” will externally email the client who retained your services along with attaching the invoice (PDF) for their review. The default for the automatic Invoice Reminder is set when invoices go past 30-days and they are continually resubmitted every 12 days until marked paid. The company admin has the ability to change the default times. The end user can also easily locate all invoices pertaining to a case or locate all open invoices pertaining to a customer. VCM to QuickBooks Feature: The VCM to QuickBooks Sync feature allows for real-time syncing of VCM invoices to QuickBooks which eliminates double labor. This will allow you to work and generate VCM invoices automatically with seamless integration into QuickBooks.
Both! VCM allows you to add your own services and fees under the admin section “Service Types” and within you have the ability to set hourly fees or flat rate fees…along with setting the sales tax for each item. If you conduct services within various counties and are using the “Template Reports” you could utilize the same report over and over by just changing the code/SKU # and entering in different sales tax percentages. Within the description field…(after your description) I would suggest stating the county or the percentage, this way the end user knows which item to pick from the dropdown within the Template Reports. There is another option which would be to charge sales tax at the end of your invoice; however by doing such you are disabling VCM from automatically completing this. However this might be a necessity if you are working in many counties and would rather not add numerous items to just handle the sales tax issue. If this is your case I would suggest not entering in a sales tax amount when creating your items within “Service Types”. Once your case is completed review the finances within the “Money Report” and notice the total towards the bottom and times (x) that towards the respective sales tax percentage for the county the work was completed in. Now you need to add the sales tax to the “Money Report” as an expense and in order to do such you first need to create the item within the admin section “Service Types” under expenses. Once that has been completed go to the case you are working on and pick one of the subjects and click the link “Order Services” and the following link “Expenses”. From the dropdown, pick the sales tax item you created or you can also create many different items called sales tax with various percentages; if you create one item for sales tax…know you can change the amount and percentages once within the form. Enter in the amount of the sales tax you manually added from the total services you located within the “Money Report” and click the save button. Now since you took sales tax into the VCM invoice as an “item” you sell…it will be added to QuickBooks invoice as an item as well…and not placed within the standard sales tax fields. Due to this it is imperative that once you import a VCM invoice into QuickBooks, locate that invoice and item number dealing with the sales tax expense. Once you locate that item you need to make sure you categories it correctly within QuickBooks as a sales tax item…if not your sales tax report will be off and you will not be able to generate a sales tax reports within QuickBooks correctly. You will only have to do this once, as once it is categories it will recall this information.

Currently the following scanners are known to work with VCM, however many TWAIN driver devices can be accessed, from Web Cams to forensic USB Microscopes. The Following scanners are known to work: Kodak i30, i40, HP 6300, 4370, 4850, Logitech Quick Cams…etc. |
To configure Safari to work with the VCM Direct-Scan, you first need to download a plug-in via the VCM web sites support page. Download the file and save it to your desktop for easy access. Once downloaded, right click the folder and choose "Extract All".

Once the folder is extracted, open the folder and copy the file within.

Go to your C drive and locate the folder "Program Files" and open that folder to locate the Safari folder.



To configure Chrome to work with the VCM Direct-Scan, you first need to download a plug-in via the VCM web sites support page. Download the file and save it to your desktop for easy access. Once downloaded, right click the folder and choose "Extract All".

Once the folder is extracted, open Crome and type within the address bar "chrome://extensions" and the below image will show. Expand the "Developer Mode" and click the "Load unpacked extension" and locate the folder you extracted. Once you pick the folder and click "ok"...you are done and the VCM Direct-Scan will work as expected.


VCM has a great deal of technology incorporated into it and besides being able to attach a single document or ten (10) documents...you can also scan directly into the attachments section. You can attach or scan directly into the case documents, subject(s) documents, client, user pages...etc. If you have a scanner attached to your computer VCM will locate it and scan directly into the software page you are working on. We accomplish this by our integrated TWAIN driver access which allows you to access scanners, web-cams, microscopes and other TWAIN driver based devices.
